Tour Booking & Payments Information

For all tours and travel-related services, an advance payment is required to secure internal flights, train tickets, national park permits, hotel reservations, and other tour arrangements made which has to be made in advance.The exact amount of the advance is determined by our management, based on the nature of the services and the timing of your travel. These details will be discussed and agreed upon during the planning of your tour with us.

For specific services such as flights, premium hotels, beach resorts, and wildlife lodges, higher advance deposits or full payments may be required — especially during peak travel seasons like Christmas and New Year.

Booking Conditions:

50% of the total tour package amount is required as an advance payment to secure your booking

The remaining 30% of the balance amount must be paid 18 days before the tour start date, totaling 80% of the total amount in advance.

The remaining 20% balance payment should be settled upon arrival and on the first day of the tour, either in cash or via online payment. Payment must be completed before the commencement of tour services.

If your travel date is more than 60 days away, you have the option to reserve your booking by paying 30% of the total tour amount as an advance. However, 50% of the total tour amount must be paid at least 40 days prior to the travel date. The remaining balance must be paid as per the standard booking policy.

Please Note: In case of delayed payments without notification, we reserve the right to treat the booking as cancelled, retaining the deposit.


Advance Deposit: Next Steps

A tour confirmation voucher is emailed or WhatsApp to you within 18 hours of successful booking. Hotel booking vouchers and final travel documents are issued upon receipt of the final payment by the due date.

Failure to make 80% payment at least 24 days before the tour start date may result in cancellation of the booking.


Cancellation Policy:

At Summit Safari India, our aim is to provide the maximum refund possible to our clients in the event of cancellation. While we strive to accommodate special circumstances, any refunds beyond the cancellation policy are subject to management discretion and not guaranteed. Clients are expected to adhere to the cancellation policy under all circumstances.

Cancellation of a confirmed booking must be made by the client in writing, whatsApp or by email, to Summit Safari 919805051102, vishal@summitsafari.com. Written cancellations are accepted on all working days except Sundays. Cancellations sent on Sundays will be considered on the next working day, Monday. Refunds will be processed as follows:


Cancellation & Refund Policy: Indian Domestic Clients

Cancellation 35 days prior the date of travel - 15% Cancellation charges of The Total Tour Price.

Cancellation 34 - 16 days prior the date of travel - 30% Cancellation charges of The Total Tour Price.

Cancellation 15 - 08 days prior the date of travel - 50% Cancellation charges of The Total Tour Price.

Cancellation 07 - 04 days prior the date of travel – 75% Cancellation charges of The Total Tour Price.

Cancellation 03 days or Less than 03 - No Refunds - 100% Cancellation charges of The Total Tour Price

No Show - Do not qualify for any refunds - No Alterations and No Refunds back.

Please Note: Additional charges will apply for deductions made by airlines, train tickets, or any other tickets, hotel bookings, taxes including GST, and wildlife safari tickets, beyond our above cancellation & Refund policy.

All bookings made for the period from December 20th to January 5th (Christmas and New Year) are strictly non-refundable, and our standard booking and cancellation policy does not apply during these dates. However, in exceptional cases, cancellations during this period may be considered on a special basis, and we will try to process a refund if circumstances allow.

Note: No refunds will be issued for unused hotel accommodations, chartered transportation, missed meals, etc. In the event of trip cancellation during the tour, we do not bear responsibility for any refunds.


Price Guarantee and Alteration of the Booked Tour

Our holiday prices are fully guaranteed without any surcharges and cover all aspects of the purchased complete holiday package. This guarantee does not extend to individual items like airline or train tickets not booked through us. Our tour prices are transparent With No Hidden costs. Tipping is not included and is at the client's discretion. Summit Safari can provide advice on tipping practices in India.

If you wish to make changes to your tour program after your booking has been confirmed, any modifications will be subject to feasibility and availability. A booking alteration fee of INR 2,000 per person will apply.In addition, any extra costs resulting alterations - from changes in transportation, accommodation, entrance tickets, flights, trains, or any other tour related services must be borne and paid directly by the clients.


General Terms and Conditions

1. Tour Itinerary Flexibility:

The tour itinerary is subject to favorable weather and road conditions. In case of adverse conditions affecting certain destinations, we will make every effort to arrange alternative plans.

2. Weather and Road Conditions Policy:

Please note that tour prices will not be refunded or adjusted due to unfavorable weather or road conditions. Any changes to the travel itinerary or hotel accommodations will incur additional costs borne by clients directly, along with alteration charges as stated in the "Price Guarantee and Alteration of the Booked Tour" section.

3. Car Air Conditioning Policy:

Air conditioning in cars will not be available in hilly areas but will be provided in plains during the rest of the journey. Should you require full A/C service throughout the tour, additional charges will apply, and this should be discussed during tour planning.

4. Wildlife Safari Booking Policy:

All wildlife safaris booked in Indian Wildlife National Parks/Sanctuaries are non-refundable. Date change requests will be treated as cancellations with no refunds or adjustments.

5. Baggage Limitation:

We request that you limit your baggage to a maximum of 15-22 Kgs per person.

6. Internal Flight Baggage Policy:

Internal flights in India allow 15 Kgs plus 1 piece of luggage and 7 kgs of hand baggage in the cabin. Additional baggage weight will incur extra charges payable directly at the airline counter by clients.

7. Mid-Tour Departure Policy

If you decide to leave the tour midway, no refund will be provided for any unused portion of the tour amount.

8. Unused Services Policy:

No refunds will be made for any unused accommodations, meals, transportation, sightseeing tours, or other activities/services due to factors beyond our control. Such unused items are non-refundable, non-exchangeable, and non-transferable.

9. Hotel Room Allocation and Complaint Procedure:

Room allocation is done by the hotel upon check-in based on availability. Any complaints regarding hotel services should be addressed directly to the hotel reception/manager.

10. Hotel Room Heater / Meals Policy:

Any extra cost for using a room heater must be paid directly by guests, charged on a per-night basis by the hotel. Meals Timings must be followed as per instruction given by the hotels.

11. Expectation Management Policy:

No Refunds shall be claimed from Summit Safari or Summit India Travels, if any of the services & amenities do not meet your expectations, as tour packages are customized based on clients' budgets and preferences at the time of booking with us.

12. Check-In/Check-Out Time Policy:

Hotel check-in/check-out times must be followed as per hotel policies. Early check-in or late checkout may incur additional charges.

13. Air/Bus/Train Ticket Payment Policy:

100% advance payment is required for air/bus/train ticket fares, as tickets need to be purchased in advance.

14. Travel Document Verification Policy:

Upon receiving booking confirmation vouchers/tickets, clients should carefully check their names and other details. Any discrepancies should be reported immediately.

15. Identity Proof Policy:

Valid identity proof (Aadhaar Card, Voter Card, Driving License, etc.) must be carried and presented during hotel/airport/railway station check-in.

16. Motorbike Tour Safety Policy:

Participants in motorbike tours must wear helmets and carry valid driving licenses at all times.

17. Responsibility Disclaimer:

We shall not be responsible for delays, alterations in the program, or expenses incurred due to natural hazards, flight cancellations, accidents, breakdowns of transport, machinery, equipments, weather conditions, landslides, sickness political closures, or any untoward incidents.

18. Luggage Security Policy:

Guests are responsible for the safety and security of their luggage. We are not liable for any damage, loss, or theft of baggage.

19. Insurance Recommendation:

We do not provide travel insurance. Clients are advised to arrange travel insurance covering accidents, sickness, theft, or other reasons independently.
